Privacy and your information

This page explains how information is handled when you use Marketing Analytics AI Tutors.

Web registration and confirmation

The web chat asks for your own student or staff ID and a user name of your choice. Nicknames are welcome; a full name and student/staff selection are not required. IDs are format-checked and self-declared, not verified against university records.

Before continuing, tick the box confirming that this is your own ID and that you have read and agree to the Privacy details. We record the confirmation time and notice version. This covers the data handling described there; it does not mean agreeing to participate in research.

Your ID, user name, sign-in and confirmation times, notice version, feedback choices, questions, replies and timestamps are stored in the project's Cloudflare database for password-protected administrator review and CSV export. Earlier records may retain full names and roles; earlier confirmations are not assumed.

An essential secure cookie remembers your web session for up to 12 hours. Sign out on shared devices. Signing out does not delete stored records; no automatic deletion period has been set for web usage logs.

Information used by the service

Your selected feedback style and recent conversation context are used to tailor replies. Messaging-channel style preferences may be retained for future conversations.

Your messages, AI responses and basic session information are processed to provide the chat service. Conversation records and service logs may be stored and reviewed for support and troubleshooting. Messaging platforms may also provide account identifiers and display names, so chats should not be assumed to be anonymous.

Use non-sensitive examples in chat messages. Do not include personal identifiers, private student work or confidential material. The ID and user name entered in the sign-in form are not sent to the AI tutor; questions, recent context and feedback style go to the n8n and AI services with a random session identifier.

Service providers and storage

External hosting, messaging and AI providers help operate the service. Relevant chat content is sent to the AI provider, and processing may take place outside the European Economic Area. Provider terms may allow retention and model improvement; exclusion of these uses has not been confirmed. See the AI provider's privacy policy.

Closing a chat does not automatically delete its records or backups. Retention varies across the services involved; contact us for information about stored records or deletion requests.

Research participation

Where an activity forms part of a research study, separate participant information explains its data use and your choices. Using this website alone does not mean agreeing to participate in research.

Your questions and rights
